Scanning Project FAQs

Our scanning experts interact with prospective clients every day to discuss their scanning project requirements. Here are some of the most common questions we encounter about the scanning process.

 
  • A standard banker box of documents holds between 2,000 and 2,500 pages. A large box holds between 4,000 and 4,500 pages. Both numbers vary based on how tightly packed the boxes are and how many folders are in the box.

    You can estimate between 150 and 200 pages per inch for paper on a shelf or in file cabinets. That number varies based on how tightly packed the shelves or drawers are and how many folders are in them.

    Remember that a duplex or two-sided page counts as two pages. Grab a few folders and get a rough estimate of the percentage of the two-sided pages in your collection. Then, multiply that percentage by the total number of pages.

    These numbers serve as an estimate of the total number of pages you need to be scanned. So, while they are not exact, they do give us a pretty good idea about your overall volume.

  • Letter and legal paper documents cost between $0.07 and $0.15 per page to scan. This number varies for a number of reasons.

    ● The volume of pages you need to be scanned

    ● Amount of prep work involved with getting your paper ready for scanning

    ● Do the documents require optical character recognition (OCR) or redaction?

    ● Is this document scanning job a rush project?

    ● How will the files be indexed or named?

    ● Will the documents be destroyed or returned?

    ● Will the electronic records be formatted and imported into your document management system

  • You can choose to save your scanned files in PDF or TIFF formats.

    TIFF: TIFF can be grayscale or color. TIFF files are smaller than PDF, so they take up less virtual storage space, and you can view them faster because they're quicker to index. Adding signature forms, new pages, amendments, and more is easier on a single-page TIFF compared to a PDF. Consider TIFF as your go-to format if you plan to edit digital images in a working storage format.

    PDF: PDF is a preferred file format for scanned documents thanks to its compatibility with many different applications. It also meets legal requirements for signature compliance. Lastly, PDFs are viewable on any type of operating system (OS).

    However, we execute document scanning projects for clients from in and around Louisiana and surrounding areas in the US.

    We have a secure pickup and transportation service, so you can rely on us to pick up and drop off your documents. We follow a secure chain of custody, and you can track every box of papers during your scanning project. We can also send you any document you require within 30 minutes in electronic form if you need it before the scanning project is through.
